Place in the Organisation

The incumbent is responsible to the Head Section of Human Resources Dept.
Primary Duties and Responsibilities
· Reviews documents prior to initial appointment of local staff members, including marriage/birth certificates of dependents, certificates prepares letters of appointment to ensure timely and accurate processing
· Checks various personnel records, forms and tables for accuracy to provide/ initiates corrective action as required
· Maintains and updates all relative human resources records related to the functions of the section to ensure availability and accuracy of information
· Maintains and updates medical examination for new appointed staff members, in addition to in-service medical examination for staff members to certify and follows up on completeness and accurate records
· Drafts routine correspondence, personnel action forms and other routine materials to assist in departmental activities
· Prepares or assists in preparation and update of routine statistical and other periodic reports to ensure completeness of departmental activities
· Maintains temporary assistant and casual files and senior periodic evaluation reports for senior staff to support departmental actions
· Receives incoming mail and dispatches outgoing mail to ensure business communication
· Attends to the reproduction, collation and stapling of various documents and materials to assist in departmental operations
· Performs the data entry on HRM and Payroll System to ensure data availability and accuracy

Minimum Qualifications
  • Diploma in Business and office practice, or other related discipline.
· Two years experience of relevant experience in clerical/Administrative and preferably in HR
· Very good command of spoken and written English and Arabic.
Competencies
· Ability to take initiative and maintain cordial relationship with all concerned;
· Ability to operate standard computer software used by the Agency such as MS Word, Access, Excel, Outlook;
· Strong communication skills;
· Creativity and ability to take initiative;
· Ability to work under pressure.
Desirable Qualifications
· Knowledge of UNRWA’s Staff Rules and Regulation;
· Familiarity with the HRMP system.
EQUIVALENCY
When the minimum requirements are not fully met, the Director of Human Resources, in consultation with the Comptroller, may exceptionally substitute part of the unmet requirements with a combination of relevant academic qualifications, additional professional training and progressive relevant work experience.
NB: Work experience alone or formal qualifications with no relevant work experience are not considered an acceptable combination.
